1. Who we are
Right Start Pediatric Therapies, Inc. (“Right Start,” “we,” “us,” or “our”) is an Illinois Early Intervention payee, billing, and administrative partner for independent pediatric therapists. Our administrative office is located at 50 S. Main Street, Suite 200, Naperville, Illinois 60540.
This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with www.rightstartpediatrics.com and related public pages, contact forms, and telephone or email inquiries initiated through those pages (collectively, the “Site”).
This Policy covers information collected through the public Site and related inquiry channels. It does not govern protected health information or Early Intervention records. Those records are subject to the Health Insurance Portability and Accountability Act (“HIPAA”), the confidentiality rules under Part C of the Individuals with Disabilities Education Act and the Family Educational Rights and Privacy Act (“FERPA”), Illinois Early Intervention Rule 500, and our Notice of Privacy Practices. Families may request that Notice from us. We also post it on this Site on a page titled “Notice of Privacy Practices.”
2. Scope
This Policy applies to:
- Visitors to the public Site, including independent therapists considering a working relationship with Right Start;
- People who contact us through a Site form or through a telephone number or email address published on the Site; and
- Device, log, cookie, and analytics data created when the public Site is used.
The therapist login is an authenticated work area. Account credentials and portal usage data are collected to operate that area. Clinical, billing, credentialing, tax, and payment information processed in the portal or in our operations systems is governed by the applicable contractor agreement, our Notice of Privacy Practices, and healthcare and tax law—not by this Policy alone.
This Policy does not apply to information we collect solely through offline contracting, credentialing, payroll, or clinical-billing systems, except to the extent that information is also submitted through the Site. If another signed agreement with you is more specific about a particular record, that agreement controls for that record.
3. Information we collect
A. Information you choose to send us
When you use a contact form, call us, or email us, we receive the details you elect to share. That typically includes:
- Identifiers and contact details: name, email address, telephone number, and mailing or practice address if you provide one;
- Professional information: discipline, license or credential status, service area, and availability;
- Message content: questions about contracting, billing support, credentialing, or other topics you include; and
- Records of the conversation, including emails, voicemails, and notes we keep so that we can respond and maintain a business record.
Do not include a child’s name together with a diagnosis, treatment notes, IFSP or IEP content, insurance identifiers, or other health details in a public web form. If a family needs to discuss clinical or billing matters, contact us by telephone at 877-960-5006 and we will use an appropriate secure channel. If health information is sent through a public form anyway, we will treat it as protected information under applicable healthcare privacy law, move it off the public-form channel, and handle it under our Notice of Privacy Practices.
B. Information collected automatically
Like most websites, the Site may collect technical information when you visit, including:
- Internet Protocol (IP) address, approximate location derived from IP address, browser type and version, device type, operating system, and referring URL;
- Pages viewed, dates and times of visits, and other usage statistics; and
- Cookies and similar technologies used for security, form operation, session management, and basic site analytics.
We do not use the public Site to collect biometric identifiers (fingerprints, face geometry, voiceprints, or comparable data), and we do not scan bodies or devices for that purpose.
C. Therapist login
If you create or use a therapist account, we may collect a username, authentication credentials, account preferences, and records of actions taken in the portal in order to operate and secure that account. Additional professional, tax, banking, and credentialing information needed to work with you is collected under the contractor agreement and related onboarding forms.
D. Sale and advertising use
We do not sell personal information for money. We do not use information submitted through Site forms to build third-party advertising audiences. We do not share personal information with third parties for those third parties’ own direct marketing.
4. How we use information
We use Site information to:
- Respond to questions about working with Right Start and about the administrative, billing, and credentialing support we provide;
- Evaluate and, if appropriate, begin a working relationship;
- Operate, secure, and improve the Site, including diagnosing technical problems and preventing fraud or abuse;
- Keep a record of our communications as a legitimate business record and as required or permitted by law;
- Comply with legal, regulatory, audit, and Early Intervention program obligations; and
- Send service or administrative messages related to an inquiry or an existing relationship.
If you give us a telephone number, we may use it to return your inquiry by voice call. We do not use numbers submitted on the Site to send marketing texts or autodialed marketing calls. Any future text program will require a separate, express opt-in on the form itself.
We do not use Site inquiry data to send unrelated third-party marketing lists.
5. How we disclose information
We may disclose personal information as follows:
- Service providers. Hosting, email, form processing, telecommunications, analytics, information-technology, and professional advisers who receive information in order to perform work for us.
- Legal and program requirements. To courts, regulators, the Illinois Early Intervention system, payers, or other parties when we believe disclosure is required by law, necessary to protect rights and safety, or necessary to investigate fraud or security incidents.
- Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.
- With your direction. If you ask us to share information with a named person or organization.
We require service providers to use Site information only to provide services to us, except where the law requires otherwise. We do not permit them to use Site-form contents for their own marketing.
6. Cookies, analytics, embedded tools, and Do Not Track
The Site may use first-party cookies and similar tools that are needed for security, to keep a form or login session working, and to understand in aggregate how the Site is used. Service providers that perform basic analytics may receive technical information such as IP address, device type, and pages viewed in order to perform those functions.
Some third parties may collect technical information through the Site if we use their embedded tools (for example, a font service, a mapped-address widget, or a social-media plugin). Those parties’ practices are governed by their own policies. We do not allow third parties to collect Site-form contents for their own advertising.
Most browsers allow you to refuse or delete cookies. Blocking cookies may prevent parts of the Site, including forms or login, from working correctly.
Do Not Track. Some browsers transmit a “Do Not Track” (DNT) signal. There is no uniform legal standard for responding to DNT. The Site does not currently alter its data-collection practices in response to DNT signals. If we deploy a recognized opt-out preference signal such as Global Privacy Control, we will update this section.
7. Retention
We keep inquiry records for as long as needed to complete the conversation and for a reasonable period afterward as a business record, typically up to three years, unless a longer period is required by an active working relationship, a legal hold, an audit, or Illinois or federal recordkeeping rules. Technical logs are kept for a shorter period unless needed for a security investigation.
Contractor files, tax records (including Form 1099 documentation), Early Intervention records, and other healthcare-operations records follow the retention periods required by those programs and by our internal record-retention schedule. Early Intervention records are retained for at least six years after the child’s discharge from Early Intervention services, or longer if an audit or legal matter remains open. Nothing in this Section shortens a retention period required by the Early Intervention program, tax law, HIPAA, or a legal hold.
When information is no longer needed, we delete or de-identify it, or we restrict access, consistent with backup and legal-hold constraints.
8. Security
We implement reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, acquisition, use, disclosure, modification, or destruction, consistent with the Illinois Personal Information Protection Act. No method of Internet transmission or electronic storage is completely secure. Use a unique password for any therapist login and notify us promptly at support@rightstartpediatrics.com if you believe an account or communication has been compromised.
If a breach of the security of the system affecting personal information of an Illinois resident occurs, we will provide notice as required by 815 ILCS 530.
9. Children
The Site is intended for adults who are therapists, practice owners, or other professionals, and for adults making administrative inquiries. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Site. If you believe a child under 13 has submitted personal information through the Site, contact us at the address below and we will delete it from the Site inquiry records.
Families seeking Early Intervention or therapy services should not use public Site forms to submit a child’s health information. Call 877-960-5006 and we will use an appropriate channel.
10. Your choices and requests
You may:
- Decline to submit a form or to share particular fields;
- Ask us to correct inaccurate contact information you provided through the Site;
- Ask us to delete a Site inquiry record, subject to legal and recordkeeping limits;
- Unsubscribe from any optional email list using the instructions in the message; and
- Disable cookies in your browser, as described above.
To make a request, email support@rightstartpediatrics.com or call 877-960-5006. We may need to verify that we are speaking with the right person before completing a request. Requests about a child’s Early Intervention records must be made under our Notice of Privacy Practices, not solely under this Policy.
11. California and other state privacy notices
If you are a California resident, the California Online Privacy Protection Act requires us to tell you what we collect through the Site and with whom we may share it. In the preceding 12 months we have collected the categories listed in Section 3 from Site visitors who choose to contact us and from automatic Site collection. We have disclosed those categories to service providers for the business purposes in Sections 4 and 5. We have not sold personal information for money. We have not shared personal information for third parties’ own direct marketing or to build third-party advertising audiences.
Depending on your state of residence and whether a comprehensive state privacy law applies to Right Start, you may have additional rights to access, correct, delete, or obtain a copy of personal information, or to opt out of certain profiling or targeted advertising. We will consider requests made under this Policy in good faith. We will not discriminate against you for exercising a privacy right. We do not promise the specific timelines or appeal procedures of a statute that does not apply to us.
Authorized agents may submit a request if they provide proof of authorization that we can reasonably verify.
12. International visitors
The Site is operated from the United States and is intended for users in the United States, primarily Illinois. If you access the Site from another country, you understand that your information will be processed in the United States, which may have different data-protection rules from those in your country.
13. Third-party sites
The Site may link to Facebook, LinkedIn, professional associations, or other third-party sites. Those sites have their own privacy practices. This Policy does not govern them, and we are not responsible for their content or their handling of information.
14. Changes to this Policy
We may update this Policy from time to time. The “Last updated” date will change when we do. If we make a material change, we will post the revised Policy on this page and, where appropriate, provide additional notice, such as a site banner or an email to people who recently submitted a form.
The updated Policy applies to information we collect after the “Last updated” date. For material changes that affect information we already hold, we will provide additional notice where required. This Policy is a public notice. It does not create a contract, a warranty, or third-party rights.
15. How to contact us
Questions about this Policy should be sent to the contact information above. Questions about a child’s Early Intervention records should be made under our Notice of Privacy Practices. You may also file a healthcare-privacy complaint with the U.S. Department of Health and Human Services, Office for Civil Rights.
16. Additional terms
This Policy is a public notice of our Site practices. It does not form a contract, does not promise error-free security, and does not give any third party a right to enforce it. If another signed agreement with you is more specific about a particular record, that agreement controls for that record. Illinois law governs our interpretation of this notice, without regard to conflict-of-law rules. If a court finds one provision unenforceable, the rest remains in effect.
